HIRING: Senior Administrative Associate

Are you interested in being an integral member of a scientific team conducting exciting and innovative research in biology? Dr. Timothy Springer is looking for a highly motivated, detail-oriented candidate to fill the position of Sr. Administrative Associate. This position requires a high level thinker with the ability to multi-task, problem-solve, and work independently and as part of team in support of the Principal Investigator, Assistant Professor, and lab.

JOB PURPOSE:
Provides multi-tasking and high-paced administrative support to Principal Investigator and management.
 
QUALIFICATIONS: 
Strong office skills; competence using Macs and experience with Microsoft Office and database management; highly accurate; able to multi-task and highly organized; willing to put in extra hours when required around deadlines; performs independently; strong communication skills. BA/BS required, major in a biology field a plus. Previous administrative experience in a basic science research environment preferred. 
 
DUTIES:
Administrative
•    maintain PI’s calendar and agenda and lab calendar
•    schedule meetings with internal and external parties
•    manages lab email account 
•    post award management: track spending, monitor accounts, and budget forecasts and reconciliation
•    work with HR and Immigration Office for hiring and visas 
•    compiles and distributes appropriate forms necessary to ensure institutional compliance 
•    assists in drafting letters of recommendation 
•    order office supplies

Events: organize and develop agenda for events including board meetings, committee meetings, symposia, and seminars
Orders food catering; organizes periodic lab outings 

Committees and Seminars: Assists when PI chairs a committee, as in recruitment, by organizing meetings, taking notes, and helping with follow-ups; helps organize and schedule seminars by outside speakers.

Reimbursements: Handles travel and event reimbursements for PI and approved reimbursements for lab personnel; deposits checks.
